JOB DESCRIPTION.

Job Title: COID Administrator – Support to COID Group Manager

We are currently seeking a dedicated COID Administrator to join our team at the Waterlake Farm Estate in East Pretoria. This role supports the efficient administration of workplace injuries within FSG and provides vital administrative assistance to the COID Group Manager.

Key Responsibilities:

  • Manage the day-to-day administration of injuries on duty.
  • Support the COID Group Manager in administrative tasks to ensure smooth operations.

Minimum Requirements:

  • Completion of Grade 12.
  • Proficiency in MS Office Suite, including Excel and PowerPoint.
  • Strong verbal and written communication skills in both Afrikaans and English.
  • At least two years of experience in an administrative role is preferred.
  • Must be organized, energetic, and able to work independently.
  • Ability to work after hours if required due to injury on duty (IOD) cases.
  • Ensure you have reliable transportation.

Key Responsibilities.

Administrative Support:

  • Assist the COID Group Manager with delegated tasks and initiatives to ease workload.
  • Conduct follow-ups with branches regarding IOD documents or certified IDs not submitted or non-compliant with guidelines.
  • Maintain communication with FSG branches and hospitals on outstanding IOD medical reports.

Documentation Management:

  • Keep a detailed record of unresolved COID issues or required corrective actions.
  • Organize and retrieve IOD documents from the archive daily.
  • Gather and submit IOD training materials to the COID Group Manager 24 hours before training sessions.
  • Collect necessary documents for monthly payroll orders as requested by the COID Group Manager.

Meeting Coordination:

  • Provide administrative support for COID meetings, including sending notifications, preparing discussion documents, and recording minutes.

Database and Compliance:

  • Develop and monthly update a database of external COID service providers.
  • Ensure 30 copies of required legal and policy documents for IOD reporting are always available.
  • Prepare at least 60 IOD incident files in advance during the last week of each month.

Financial Efficiency:

  • Support the effective and efficient spending of COID finances and the procurement of COID items.

General Support:

  • Assist with all aspects of the COID process or other tasks as directed by the COID Group Manager.
